Supply Chain Supervisor

JOB SUMMARY
Responsibility for maintaining the supplyinventory in a cost saving and timely manner. Determines and maintains appropriate inventory levels of materialsrequired to meet the requirements of the surgical schedule. Workscollaboratively with the Supply Chain Manager, Director of Surgical Services,Managers and Coordinators to anticipate the needs for scheduled cases. Workswith physicians, staff and administration to improve efficiency and costinitiatives within the Surgical Services Department.
QUALIFICATIONS
- High School graduate or equivalent required; Associates Degree preferred
- Minimum of 1 year of supervisory experience or 2 years of lead experience in a hospital supply chain setting required.
- Proficient in MS Office applications which include Outlook, Word, Excel, and PowerPoint required.
- Ability to demonstrate excellent communication skills (written and verbal), customer service and problem solving skills
- Requires a high level of interpersonal skills and judgment necessary to gather and exchange information with variety of internal and external customers in order to respond to patients, visitors, and staff in a professional manner while possessing a positive attitude, high energy level, and the ability to respond and act quickly.
- Working knowledge of medical terminology
- Experience in materials management, surgical hospital or surgical scrub tech preferred
RESPONSIBILITIES:
- Develops and maintains relationships with vendors to ensure appropriate equipment and supply sourcing.
- Researches and evaluates vendors for specialized equipment as needed.
- Manages vendor communication, consignment inventory, and return processes.
- Serves as liaison between vendors, OR leadership, and internal departments.
- Oversees the full purchasing cycle:
- Coordinates and processes purchase orders, requisitions, and packing slips.
- Manages daily backorder follow-ups, substitutions, and discontinued products.
- Verifies and reconciles purchasing documents, escalating discrepancies to accounting department prior to payment.
- Reviews files for order status and backorders to ensure timely delivery.
- Supervises inventory management and physical counts:
- Manages the computer inventory system (Paragon/Allscripts), including inventory, pricing updates, bin labels, and locations.
- Trains department staff on inventory procedures.
- Manages receiving and distribution functions:
- Inspects and verifies incoming supplies and coordinates vendor returns when necessary.
- Ensures proper storage and stock rotation, maintaining all dated supplies within usable timelines.
- Oversees daily operations of Supply Chain Technicians:
- Provides direction and completes quarterly rounding.
- Supports clinical operations:
- Maintains OR schedule with additions and cancellations.
- Communicates regularly with OR staff regarding special procedures and supply needs.
- Manages preference cards and reconciles/finalizes case changes.
- Ensures accurate patient charge capture
- Verifies charges using implant logs and non-stock requisitions.
- Collaborates with Business Office to ensure case profitability, especially for low-reimbursement implants.
- Manages tissue and bone inventory:
- Orders, tracks, and documents usage in compliance with DNV and USPI requirements.
- Maintains tissue tracking logs and manages recalls as needed.
- Ensures compliance with regulatory and policy requirements:
- Adheres to all applicable guidelines (AABB, FDA, AAMI, AORN).
- Maintains warranty, preventive maintenance, and contract records.
- Coordinates and documents physical inventory counts with the Administrator.
- Performs other duties as assigned to support hospital/unit goals.
