JOB SUMMARY

The Lead Therapy Services Front Office Coordinator’s role is to perform, monitor, and oversee all admin functions at their assigned clinic.

QUALIFICATIONS

  •  High School Diploma required.
  • Minimum of three years’ experience in an outpatient medical office setting.
  • Experience in an Outpatient Physical Therapy practice setting preferred
  • Two years of leadership experience in an outpatient medical office environment required.
  • Excellent communication skills required.
  • Ability to problem solve, multitask and prioritize.
  • Proficient in MS office applications including Outlook, Word, Excel, and Powerpoint.
  • Proficient with Electronic Medical Record software.

RESPONSIBILITIES:

  • Day to day supervision of a team of front office coordinators at an assigned clinic.
  • Assist the Clinic Support Supervisor with staffing schedules.
  • Registers and schedules patients for therapy services.
  • Maintains daily referral data to ensure patients are scheduled in a timely manner.
  • Maintains insurance authorization information and communication per organization requirements and processes.
  • Collects payments via credit card/check/cash and follows payment collections and posting processes.
  • Has knowledge of medical billing and insurance practices at a level suitable for their role.
  • Manages patient notifications and alerts efficiently and timely.
  • Scans paperwork into multiple EMR systems.
  • Maintains patient care records in accordance with HIPAA and local organizational rules and standards.
  • Communicates and coordinates with the central business office team.
  • Manages communication requests from patients in an effective and timely manner.
  • Reviews schedules daily with local clinical leadership for efficiency and optimization.
  • Communicates professionally and effectively in person, by phone, via electronic messaging platforms, and via email.
  • Manages cancellations and rescheduling requests efficiently and timely.
  • Assists the Clinic Support Supervisor with clinic administrative audits.
  • Must be able to prioritize workload and multitask as required.
  • All other duties as assigned
