Clinic Support Supervisor (Therapy Services)

JOB SUMMARY

Reporting to the Clinical Director of Therapy Services, the Clinical Support Supervisor will oversee the daily operations of front office reception teams across multiple therapy clinics locations. Will possess strong leadership skills, a keen eye for detail, and the ability to manage and train staff effectively. The role of the Clinical Support Supervisor is key to ensuring that clinics provide exceptional patient service and maintain efficient administrative operations.

QUALIFICATIONS

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Minimum of 3-5 years of experience in a medical or physical therapy office setting.
  • Minimum of 1 year supervisory or management experience required.
  • Proficiency in using electronic medical records (EMR) and clinic management software.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain patient confidentiality.

OCCUPATIONAL EXPOSURE

Category III exposure to blood borne pathogens may encounter chemical hazards.

RESPONSIBILITIES

 1. Staff Supervision and Management:

  • Supervise a team of front office coordinators, ensuring adherence to clinic policies and procedures.
  • Conduct regular performance evaluations and provide constructive feedback.
  • Manage time, attendance and staff schedules, ensuring adequate coverage during clinic hours.
  • Address and resolve any staff conflicts or issues promptly and professionally.

2. Staff Training and Development:

  • Develop and implement training programs for new and existing front office staff.
  • Conduct regular training sessions on customer service, clinic software, and administrative procedures.
  • Stay updated on industry best practices and incorporate them into training materials.
  • Mentor and support staff in their professional growth and development.

3. Technical and Administrative Duties:

  • Oversee patient check-in and check-out processes, ensuring accuracy and efficiency.
  • Manage processes for appointment scheduling, including handling cancellations and rescheduling.
  • Oversee and coordinate communication with the insurance verification and authorization team.
  • Ensure accurate patient record keeping and confidentiality in compliance with HIPAA regulations.
  • Utilize clinic management software to track patient visits, payments, and other relevant data.
  • Assist the business office team with cash collection and reconciliation as required.

4. Reporting and Communication:

  • Prepare and submit regular reports on front office operations, including patient flow, staff performance, and financial metrics to the Clinical Director of Therapy Services.
  • Communicate effectively with clinic managers, therapists, and other staff to ensure optimal clinic operations.
  • Address patient complaints and feedback, implementing improvements as necessary.
  • Coordinate with other departments to ensure seamless patient care and administrative support.
